PA to CEO/Executive Assistant (USA)

Location: USA Based

Reports to Chief Executive Officer

Key Responsibilities:

Executive Support:
  • Manage the Executive teams complex calendar, including scheduling meetings, appointments, and travel.
  • Prepare briefing materials, agendas, and presentations for internal and external meetings.
  • Handle confidential correspondence and communications on behalf of the CEO.
  • Take minutes and follow up on action items from meetings.
Stakeholder Engagement:
  • Serve as the primary point of contact between the CEO and internal/external stakeholders.
  • Coordinate and support board meetings, investor relations, and senior leadership engagements.
  • Build strong relationships across the business to facilitate smooth communication.
Project Coordination:
  • Support strategic initiatives and special projects as directed by the CEO.
  • Conduct research, compile reports, and provide insights to aid decision-making.
Office & Administrative Management:
  • Manage expenses, invoices, and procurement related to the CEOs executive team
  • Ensure the CEO is fully briefed and prepared for all engagements.
Skills & Experience:
Essential
  • Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting C-suite executives.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • High level of discretion and professionalism.
  • Proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, PowerPoint etc)
  • Ability to work independently and anticipate needs.
Desirable:
  • Familiarity with board governance and investor relations.
  • Project management experience or qualifications.
